Position Overview
The Director of Facilities is responsible for the strategic oversight and day to day operations of a large portfolio of multifamily properties. This leadership role blends traditional facilities management with capital project execution, vendor oversight, portfolio operations, quality control and training. The Director of Facilities is also responsible for representing the Asset Services department in capital planning discussions with internal stakeholders and external capital partners.
The ideal candidate must be exceptionally organized and a proven leader capable of managing, scaling and training a diverse team.
Key Responsibilities
Strategic Leadership & Operations
- Oversee the day-to-day physical operations of Freestone’s managed real estate portfolio, ensuring high standards of building performance, resident satisfaction, and asset longevity.
- Develop scalable, portfolio-wide systems and workflows to monitor, report, and improve building systems, maintenance protocols, and project execution.
- Drive the development and ongoing management of preventative and corrective maintenance plans, capital budgets, vendor programs, and utility efficiency strategies.
- Establish KPI benchmarks across properties for maintenance response times, cost control, capital execution, and vendor performance.
- Lead implementation of ESG-aligned building improvements, energy optimization, and long-term sustainability initiatives.
- Leverage Freestone’s vertically integrated platforms to increase overall facility quality and financial performance.
Capital Project & Facilities Oversight
- Lead the planning, budgeting, and execution of all capital improvement projects including MEP systems, structural repairs, envelope upgrades, and amenity enhancements.
- Collaborate with internal stakeholders to optimize use of vendors to execute projects efficiently.
- Maintain strong quality assurance practices including scope validation, contractor management, field inspections, and progress reporting.
- Provide detailed project updates, cost tracking, and performance metrics for each asset to external capital partners
- Maintain warranty tracking and compliance for all installed systems and completed projects.
- Implement and refine project management tools to track costs, schedules, vendor performance, and punch list resolutions.
Vendor and Partner Management
- Serve as the primary relationship manager for third-party vendors, trades, and service providers, ensuring performance standards, contract compliance, and cost-efficiency.
- Identify opportunities to consolidate vendors or renegotiate service contracts to drive savings across the portfolio.
- Partner closely with other internal verticals to align scope, timelines, and budgets while retaining accountability for final outcomes.
- Collaborate with capital partners and investment teams to communicate the facilities roadmap, status of major initiatives, and projected timelines.
Team Management & Development
- Provide leadership, mentorship, and direction to a team of Asset Services personnel, maintenance staff, field supervisors, and project managers.
- Oversee recruiting, training, performance evaluations, and development of a cross-functional facilities team that operates with consistency and professionalism.
- Build departmental capabilities to scale across Freestone’s growing portfolio.
Emergency & Risk Management
- Serve as the escalation point for major system failures, safety concerns, and emergency responses, coordinating with vendors and internal teams to resolve issues rapidly.
- Design and enforce emergency preparedness and disaster response plans including for storm events, fire alarms, and utility outages.
- Ensure compliance with all regulatory codes (FDNY, DOB, EPA, etc.), environmental programs, and required inspections.
Technology, Reporting & Compliance
- Leverage building technology platforms and company systems to input and analyze operational data, ensure compliance with company standards, and identify trends.
- Create internal reporting processes to monitor capital project status, utility usage, vendor accountability, and deferred maintenance.
- Drive the digitalization of facility documentation, preventive maintenance logs, and equipment lifecycle planning.
Qualifications
- Bachelor’s degree in Facilities Management, Engineering, Construction, or related field (Master’s or certifications such as CFM, LEED, BOMA, PMP preferred).
- 10+ years of experience in facilities or asset management, with at least 5 years in a senior leadership capacity managing large teams across multiple sites.
- Proven experience managing capital projects from inception through closeout, including budget ownership and contractor coordination.
- Deep technical knowledge of building systems (HVAC, MEP, electrical, elevator, plumbing, life safety, and building envelope).
- Experience managing relationships with capital partners and participating in recurring portfolio review meetings.
- Strong leadership, interpersonal, and communication skills with the ability to manage diverse stakeholders and resolve conflicts effectively.
- Familiarity with property management platforms (e.g., Yardi), work order systems, and reporting dashboards.
- Proficiency in Microsoft Office Suite, Excel-based budgeting, and digital collaboration tools.
